How to Set Up Your Microsoft 365 Email in Outlook (Classic Desktop App)

This guide shows you how to set up your Microsoft 365 work email in the classic Outlook desktop app on Windows.

You do not need to be technical. Follow the steps below in order.


Before You Start

Make sure you have:

  • ✅ A Windows computer

  • ✅ Outlook (classic) installed

  • ✅ Your work email address (example: you@company.com)

  • ✅ Your email password

How to tell you’re using Classic Outlook:
If you see File in the top‑left corner, you’re in the right version.


Step 1 – Open Outlook

  1. Select the Start menu

  2. Search for Outlook

  3. Open Outlook (classic)

Step 2 – Start Adding Your Email Account

  1. In Outlook, select File (top‑left)

  2. Select Add Account

Step 3 – Enter Your Email Address

  1. Type your full work email address

    • Example: jane.smith@company.com

  2. Select Connect

Enter email address and click Connect

Step 4 – Sign In

  1. Enter your email password

  2. Select OK

🔐 If your company uses extra security (MFA):
You may be asked to approve the sign‑in on your phone or authenticator app. This is normal.


Step 5 – Finish Setup

  1. Select Finish

  2. Outlook will begin downloading your email

⏳ If you have lots of email or a slow connection, this may take a few minutes or longer.

What You’ll See When It’s Working

Once setup completes, you can:

  • ✅ Read and send email

  • ✅ Use your calendar

  • ✅ Access contacts

  • ✅ Manage tasks (if enabled)


Common Issues (With Simple Fixes)

Outlook keeps asking for my password

✔ Re‑enter your password carefully
✔ Approve any sign‑in request on your phone

I don’t see a File menu

You may be using New Outlook.

✔ Look for New Outlook (top‑right)
✔ Toggle it Off to return to Classic Outlook

It still doesn’t work

Contact your IT or support team and include:

  • Your email address

  • A screenshot of the message you see
